Minutes of Kirkby Festival Meeting,
Saturday 28th January 2023

 
An outline plan/tree diagram was posted.  The structure of volunteering for the Kirkby Malzeard Festival is intended to make it as easy as possible for people to offer as much or as little time as they choose.          

The various areas of responsibility are outlined with a co-ordinator for each  team. 
Co-ordinators will organise their team and report to the committee that has an overview of the whole event. 
Volunteers can then sign up to either support the co-ordinators in preparing for the event and/or helping out on the   actual weekend.

The draft plan of the weekend was presented – from the evening of Friday 16th June until the evening of Sunday 18th June. 

There was a vote about the name of the weekend. The aim of this weekend is not just to have a great community event, but also to draw visitors in to Kirkby Malzeard and to make some money for local organisations.  ‘Gala’ suggests an event primarily for locals. KFest was suggested, because that name has already been used in considerable publicity.  ‘Kirkby Malzeard Big Weekend’ was suggested and won the vote. 
 
Friday evening – Children’s Disco.Venue tbc.
MI is planning a Music Night for the Friday night, so the Children’s Disco needs an alternative venue.
Karen Pickles – to ask KM Headteacher if the school could be available.
Gerry Mass – to discuss this with MI.
 
 
Parade of Floats with walking parade, approx. 11.30 – 12.30, Saturday 17th June
RH to discuss with Laura, Winksley Young Farmers and JA to contact Steph Bennington, Dairy.
Contact locals with vintage tractors
 
It was proposed that, rather than having a theme for floats, the different community organisations should have the opportunity to showcase themselves – to champion this area. 
Saturday afternoon event at the Highside Playing Field:

Beer tent
Commercial catering
KM Fisheries (update – Kirkby Fisheries are going to open but have decided not to organise a van on the playing field)
Small craft businesses
Commercial stalls (to pay for pitches)
Local organisations (opportunity to drum up membership)
Bouncy castle/inflatable games
Bowls/football
Agricultural events – dog agility/ferrets
Youth art/dance event 
Saturday night: event at Highside Playing Field:

Live band
Beer tent
DJ Rory? 
 
Sunday events around Highside Playing Fields:
10 K fun run (Co-ordinator to liaise with Highways and organise signage, and marshals – at least 5 along course and 5 at start/end )
Artisan market
Pop up café (using marquees on playing field) 
Other events:

Fun walk (Mosaic Trail)
– setting off from Dallowgill. 

Other suggestions for Sunday were:

A car boot/table top sale
Children’s games/creche (for runners’ families)
Steven Weld has offered paintings for an art exhibition
FR to discuss with Hilary Cookson, who has some contacts for local artists. 
 
Fiona Robertshaw offered to co-ordinate a Scarecrow Trail. 
The theme for this was proposed to be ‘ Kirkby through the Ages’. 

Beth and Tony Sinfield offered to organise a KM history trail 

Sunday evening events around the Queen’s Head: 
Suggestions were (to be discussed with Queen’s Head):

Music
Picnic?

AGRICULTURAL EVENTS 
We need to make contact with Laura from Winksley Young Farmers
Jennifer Little has suggested using her Equinutrition scales for a stand
Jen Hurford to be asked to bring her miniature ponies
Suggestion – to use The Green for an event
Contact Helen Kitchen to organise a Dog Agility/Show
Definitely need some ferrets 

THE CORONATION BANK HOLIDAY WEEKEND
(Sat 6th – Monday 8th May)
 
Guidance is that Beacons shouldn’t be lit for the coronation.  These are to be postponed until the anniversary of D-Day in 2024. 
There will be a Bank Holiday and there might be free road closure possibility (yet to be decided).
 
So we could look into organising a small street party on the road directly outside the Queen’s Head on the Sunday.
 
We need to check progress with building work at Queen’s Head.
 
Next step – consolidate volunteers and tasks and circulate to co-ordinators.
