NOTES OF BIG WEEKEND MEETING
SATURDAY 11 FEB 2023
Went through whole event with proposed timings:

Scarecrows
Action: Fiona consulting on Scarecrow ideas
Friday 16 June
6-8 pm Children’s Disco at School
Action Pippa to ask Karen P to re-confirm with school
Peter Saxon leading on arrangements
Tracey will contact Friends Kirkby School
7.30 for 8pm start: Music Night at Mechanics
Saturday 17 June
From 9am Stall holders invited to set up on Highside Playing fields
Suggested stalls both village organisations (eg WI) and commercial people
Action: still need coordinator for contacting commercial stalls, agreeing fees etc (Fiona organising Sunday artisan stalls- arrange meeting re stalls?)
11.30 am : Parade commences
Action: Tracey still waiting to hear from people invited to have floats,
start point: Dairy or Buzzards?
From 12 noon approx: Parade arrives Highside Playing fields
Food and drink teas refreshments –
Action: IIona and others to meet re Saturday and Sunday food offerings
Games and activities it’s a knock out plus …- HPFA
Music – Nigel
5pm ish: games end - Litter picking and set up for evening event – chairs, tables etc
6pm onwards: Evening music event: Hyde Family Jam and support act…
Action: Nigel to sort Curtain Sider /staging etc

Whether roped off paid event or sponsors plus voluntary contributions (firework buckets)
Sound system?
Covering cost Saturday night to raise estimate £2,500???
Sunday 18 June
From 9am Stall holders invited to set up on Highside Playing fields
9.30 am: start Family walk Dallowgill
10.30 am : start 10k+ run
Action: discuss with Harvey Jones/ Andrew Risby their plans including:
Parking
Start location
Likely numbers
Use of Mechanics/ Highside pavilion for toilets changing
First aid
Catering required
From 10 am: on Playing fields: Artisan stalls
Art activities for children and young people –
Action: Richard H leading on grant application to Awards for All
12 noon : Brass Band on Playing Fields
Street Food
Manchega Cooking demo?
How to extend into afternoon? Suggested prize givings for Scarecrows, raffle
Action: explore ideas for Father’s Day
Dog /Animal show

From 5pm Party at the Queen’s Head –
Action: Jeni Cropper to discuss ideas with the Pub
