Meeting to discuss KMLD Gala 2023
Minutes of meeting on Saturday 3rd September 2022

Date of Gala 2023
After deciding that there is much enthusiasm for a gala next year, there was consideration of the date.
Requests were made to avoid: school holidays, a Music Festival in Masham24/25 June, Masham Steam Fair, Tractor Fest (Sam C to check date of Tractor Fest 2023 )
The weekend of 17th / 18th June 2023 was decided on (subject to confirmation).
Format of event
It was decided that the gala should follow the successful model of the Jubilee weekend.
The aim is to have a community event at different locations in the village.
A suggested outline is:
Friday night: Music night at Mechanics Institute
Saturday: Float procession
Gala at the Highside Playing Fields
Evening event – kids disco in MI
Sunday: Fun Run (Andrew Risby might organise this)
Reeth Brass Band
Possible link with Open Gardens (subject to confirmation of date) for the afternoon
Street party/BBQaround Queen’s Head early evening
Events
Event ideas included:
Including some agricultural events such as a Tractor rally/precession, Sheep Dog trial, animal show, horse competitions (Contact Young Farmers for ideas).
A live band for Saturday night
WI would like to organise a bottle pull
Bouncy Castle (check public liability insurance)
Highside Longsword Dancers (Colin F to find out)
Finance
It was agreed that we should make more effort to encourage an element of commercialism in order to raise money for local organisations and community facilities.
Ideas included:
Charging for music events
Charging for organised games
Slowly introduce a number of stallholders from outside the village, who would pay rent to sell their wares at the Gala. We should ensure there is a sensitive mix of local and commercial stalls.
Organisational structure
We recognise that many people who might volunteer are worried about the time commitment.
For this reason we would like to use technology and have an efficient structure to minimise demand on people’s time.
Different organisations will manage events.
There will be a co-ordinating committee
We should establish a large group of volunteers, managed by project organisers.
The Community website is useful as a means of notifying volunteers of progress and also of recording the process.This is also beneficial for future funding applications.
Next steps
Consider buying a tannoy system
Look into float health and safety
Look into costings for buying our own marquee (considerations – can it be a source of income if rented out? Would we be able to manage setting it up? Seek advice from Alex in KM (marquee expert).
Ask Queen’s Head if they would like a street party nearby or if they would like a stand at Gala?
Plan parking
Find out date of Open Gardens
Start a volunteer email list (via website).
